INTRODUCTION

Within the curriculum of my studies in "BTS gestion de PME" equivalent to Higher National Certificat Personal Assistant in small and Medium-Sized Companies, I was asked to write out an activity report to explain the aim of my job.

The aim is to enable trainees, to put what is learned at school into practice in a working environment.

I. PRESENTATION OF THE COMPANY

I'm an initial, during the two years I had two internship periods. The company is located in Montpellier. It is a bodywork workshop, it is specialized in bodywork and painting. There are 3 employees and the director.

The best turnover the company has made since its creation is 483,700 euros (four hundred and eighty-three thousand seven hundred).

Carosserie is positioned in an extremely competitive sector. In the centre of Montpellier, many bodywork workshops offer similar services with better visibility, such as MT Carrosserie Sauveur or Carrosserie Autolift.

This business has some assets. As it is a small company, everyone knows each other and each other's jobs and is able to replace or help when needed.

II. PRESENTATION OF THE JOB

I'm responsible for the physical and phone reception, and filing. I assist the director when orders have to be placed with suppliers.

I. TASKS PERFORMED

As a personal assistant, I provide administrative support to the secretary and director, which includes a wide range of tasks. First, I use my computer to write letters, and modify documents created by the other employees. Second, I answer the phone to fulfill inquiries, take messages when the administrative officers are not in the office, or transfer calls.

During my internship period, most of my work consists of placing orders with suppliers for car parts and calling customers to pick up their cars.

2. Skills needed

As a personal assistant, I should have different skills. I have to be good at prioritizing different tasks, have organizational skills so as not to work under pressure.

3. Qualifications

It is important to respect the confidentiality of records.

A personal assistant should be diplomatic with other staff and clients. The ability to maintain a high degree of precision in work and to think creatively is also important.
